From the first HVAC call to a clear next step
Adaptiv Stratum connected HVAC phone intake with branch service records and scheduling. Staff could see the service details and tell whether a visit was confirmed or still needed follow-up.

The problem
The customer had already explained the problem.
Taking the call was only the beginning. Staff still needed the relevant service history, branch information and scheduling context before they could move the request forward. When those details lived in different places, people had to search, copy information or ask the customer to explain the issue again.
Adaptiv Stratum worked on the handoff after that first conversation: keeping the service request connected to the people and records needed for the next step.
The work and decision
Keep what the branches use and connect the gaps.
Adaptiv Stratum connected virtual-agent intake with branch service information, job and scheduling records, and operating reporting. We retained useful branch systems and established service knowledge, keeping their operational records as the source for job and scheduling status.
The virtual agent captured the address, requested work, equipment details and timing. Application rules checked branch coverage, operating conditions and permissions before passing the request to staff or submitting a permitted action. The receiving scheduling record confirmed whether a visit was booked. Dispatchers could follow up with the request details in hand when confirmation was still pending.
Reporting connected intake with job and financial records. This let the business follow activity beyond the initial call into booked and completed work, with exceptions available for review.
Responsibility. The agent gathered information and prepared context. Application rules controlled permitted actions. Dispatchers and responsible staff handled exceptions and commitments outside that workflow.
The connected workflow
Keep the request and its next step together.
Understand the request
Gather the service facts and keep missing or unclear details visible for clarification.
Check the next step
Use current branch, service-area, permission and scheduling rules before a handoff or record action.
Pass on the context
Carry the structured request to the eligible team or submit a permitted request to the existing system.
Follow the response
Use the receiving system's status to distinguish a confirmed action from work still needing attention.
A sent request still needed a result.
Scheduling or record changes depended on the destination system's confirmation. Incomplete handoffs remained work to follow up. When a person needed to decide, the handoff carried the request and the question still to resolve.
The result
Staff could see what needed to happen next.
The request could travel with its context, rather than ending with the conversation. Staff had a clearer way to distinguish an inquiry, a proposed next step, a confirmed action and unresolved work. Reporting connected that view to booked and completed jobs.
